What IS changing?

Starting in March, UCF will begin a phased shutdown of all faculty and alumni @Knights.UCF.edu email accounts. After June 1, 2024, all faculty and alumni will no longer have access to their Knights accounts. Individuals with an active Knights Mail account will receive email communications from do_not_reply@ucf.edu detailing important information and next steps before their scheduled cut-off date.

Active faculty and retired faculty covered under Article 24 of the 2024-2027 BOT-UFF Collective Bargaining Agreement (CBA) will have their Knights Mail merged with their UCF NID account. If you are unsure about whether your position is covered under the CBA, please view Appendix A of the CBA.

Why the change?

UCF has historically offered Knights accounts to former students and alumni as a courtesy without expiration. However, to remain in compliance with evolving technology standards, and to prevent unforeseen costs associated with Microsoft’s new data storage charges for Education customers, UCF will now limit University-issued Microsoft accounts to the following groups: admitted or currently enrolled students, faculty, support staff and administrators.

Actions You May Want to Complete

If you are not currently using your @knights.ucf.edu account and do not need to retain any of your data, no action is required on your part.

Look For Updates Sent To Your Knights Mail

Faculty emails will be shut down in phases, and not all at once. Please keep an eye out for instructions sent to your Knights account from do_not_reply@ucf.edu, notifying you of when your Knights Mail will be migrated or decommissioned and next steps. ​

Transfer Your Files 

Backup any important files you may have attached to a UCF Knights account. You can easily migrate your OneDrive data by following the steps found here.

Update Your Online Profiles

Please check the email address linked to any websites, services and tools that you use to confirm you are not using your @knights.ucf.edu address. These would include places like LinkedIn, Amazon, Spotify and more​

The decommissioning of the Knights Tenant at UCF, a step towards enhancing our IT services, has already begun. We understand the importance of this transition for all Knights mail users and are committed to completing this process with care and efficiency by June 2024. Email messages will be sent to affected accounts, providing specific information and time tables. This phased approach is designed to ensure a smooth and supportive migration for our university community.

  • Email: If you are in a position covered by the CBA, your email will be migrated into your @ucf.edu account for you. If you are in a position not covered by the CBA, you will need to manually export your email, contacts and calendar following the instructions found here.

  • OneDrive: All current and retired faculty must backup their OneDrive data following these steps.

  • Online Accounts: If your Knights Mail account is linked to services like LinkedIn, Netflix, etc., update your email address to a non-Knights Mail account to avoid losing access or communication with these services.
A list of what positions are covered under the CBA can be found here. If you do not belong to any of the position classifications listed, you will need to manually migrate your data away from your Knights Mail account using the steps in the following links:

Individuals covered by the UCF CBA will have their email migrated into their @ucf.edu email account. However, action will need to be taken on your part to backup OneDrive data using the information in this link. Additionally, you will need to ensure any online accounts that you have, such as Amazon or Netflix, no longer reference your @knights.ucf.edu address.

Yes. Accounts covered by the CBA will have their @knights.ucf.edu messages forwarded to their @ucf.edu account until September 30, 2024.

Generally, you should be able to follow these instructions to export important emails from your Knights email account. You can easily migrate your OneDrive data by following the steps found here.

Please note, UCF IT cannot provide support for third-party email providers, including the process of importing emails and data from Knights Mail to a personal system.

You can set up email forwarding at any time before your Knights account closes on June 1, 2024. After this date, the option to establish forwarding will no longer be available. However, any forwarding set up prior to your account closure will remain in effect until October 1, 2024.

No, there is no option to purchase additional years or to provide an extension past June 1, 2024.

If you have third party accounts connected to this email address, such as LinkedIn, Netflix, Amazon, etc, you will need to update them to use your new email address.

Faculty are responsible for backing up their own OneDrive data prior to their @Knights.UCF.edu account closing.

This is likely because you are accessing your email through a web page.

Microsoft Outlook on the web does not provide a direct feature to export or download emails to a PST (Personal Storage Table) file. PST files are more commonly associated with the desktop version of Outlook. If you are using Outlook on the web, and you want to create a backup or export your emails, you will need to use the desktop version of Outlook to do so.

Please remember, only faculty not covered by the CBA and alumni will need to backup and migrate their email manually. This will automatically be performed on behalf of faculty that are covered by the CBA.

You will no longer have access to the following items attached to your Knight’s Mail account:

  • OneDrive cloud storage (account files)
  • Outlook email account (messages, calendar, contacts)

Please Note: Active and retired faculty covered by the CBA will have access to their Knight’s email messages, calendar and contacts from their @ucf.edu account once they are migrated.
